Engineering OutcomeThe Client
A leading retail and distribution business seeking better visibility across its operations
SwiftLink Distribution is a growing Nigerian retail and distribution business serving retailers, corporate customers and independent businesses across multiple locations. Customer orders are received through several channels, processed by the operations team, prepared for dispatch and assigned to delivery vehicles. The business operates three distribution hubs and a fleet of delivery vehicles supporting its growing customer base.
As order volumes increased, the delivery operation became increasingly complex. Orders could move through several stages before reaching the customer, without consistently being captured or connected into a single view. Operations teams relied on spreadsheets, phone calls, WhatsApp communication and individual driver records to track orders. As a result, management could see that deliveries were taking place, but could not consistently see where individual orders were in the delivery process or why exceptions were occurring.
The Challenge
A fragmented data environment made it difficult to track orders, and respond quickly to changing market conditions
SwiftLink's management lacked reliable visibility into the status of customer orders after they entered the fulfillment process. Once an order was handed over for delivery, tracking often depended on communication between dispatch personnel, drivers, customer-service teams and customers.
How Delovox helped a growing Nigerian retail and distribution business establish visibility from order receipt through dispatch and final delivery, reduce delivery uncertainty, and give leadership greater control over fulfilment performance.
The Goal
Create a connected data environment that improves visibility, delivery decisions, and operational performance
SwiftLink engaged Delovox to establish an end-to-end delivery intelligence capability that would provide visibility throughout the order fulfillment cycle. The engagement focused on moving the business from reactive delivery follow-up toward proactive operational monitoring.
Ultimately, the company wanted to move from asking "has this order been delivered?" to being able to answer "where is every order in the fulfilment process, what is delaying it, and where does management need to intervene?"
The Solution
A modern delivery intelligence framework with automated ETL, governance, and exception monitoring
Delovox began by conducting a delivery-process and data audit across the company's order fulfillment and distribution operations. Rather than replacing the company's entire delivery operation, Delovox designed a centralized delivery intelligence framework that connected available order and delivery information into a unified management environment.
Delivery dashboards
Delivery dashboards showing order volumes, delivery status, turnaround time, delayed orders and unresolved exceptions.
Automated reporting
Automated reporting to reduce manual status consolidation.
Team training
Team training to establish consistent order-status updates and delivery reporting practices.
Exception monitoring
Exception monitoring to highlight orders that exceeded expected delivery timelines.
The Result
Faster decisions, improved operational visibility, and a more responsive distribution ecosystem
Following implementation, SwiftLink transformed how management monitored delivery performance. Instead of relying primarily on customer complaints, phone calls and individual driver updates, management gained a centralized view of the order fulfillment pipeline. Leadership could now see where orders were within the delivery process, identify delayed orders earlier and investigate recurring delivery exceptions.
Centralized visibility across the delivery lifecycle, from order receipt through final delivery.
Earlier identification of delayed orders, allowing operations teams to intervene before delays escalated into customer complaints.
Better understanding of delivery exceptions, enabling management to identify recurring causes of delays and failed deliveries.
Reduced manual status follow-up, allowing customer-service and operations teams to spend less time searching for order information.
Improved operational decision-making, supported by current delivery-performance information rather than retrospective summaries.
Greater customer-service visibility, allowing teams to provide more accurate order-status information to customers.
